In Short

The intake assessment tool on bigheadconsulting.ai uses artificial intelligence to analyze what you tell us about your business and suggest where Big Head Consulting might help. Specifically:

  • Your submission is sent to Anthropic's Claude API for processing
  • Per Anthropic's published commercial terms applicable at the effective date of this notice, your submission is not used to train Anthropic's models by default
  • The AI's output is a starting point, not a final answer — a person at Big Head Consulting reviews real inquiries before substantive follow-up
  • We store your submission in our database so we can review it and follow up

This page explains what that means in plain language, and what your options are.

What the Intake Tool Does

When you fill out the intake form on our Site, you provide:

  • The type of business you operate (selected from a list)
  • Operational issues you're experiencing (selected from prompts and/or written out yourself)
  • Your name, business name, and contact information

We send the business-context portion of your submission (business type, selected issues, and free-text description) to Anthropic's Claude API. Anthropic's AI model analyzes the text and returns a recommendation about how Big Head Consulting might be able to help. We display that recommendation to you on the same screen.

Your name, business name, and contact information are stored in our database for follow-up, but are not necessarily included in the AI prompt sent to Anthropic.

What AI Processing Means

Sent to a third party. Your submission text leaves our infrastructure and is processed by Anthropic's systems. Anthropic is a separate company with its own privacy practices and security controls. We have selected Anthropic because of its commercial terms, security posture, and approach to responsible AI development.

Not used for AI training (per Anthropic's current commercial terms). Anthropic's commercial API terms in effect as of this notice provide that API submissions are not used to train their models by default. We rely on those terms. If Anthropic changes its terms in a way that affects this commitment, we will update this notice.

Stored by us. We store your submission in our database (hosted by Supabase) so that we can review it, follow up, and improve our intake process over time. See our Privacy Policy for details on data retention.

Subject to AI fallibility. The AI may misunderstand your situation, miss important context, suggest things that don't fit, or simply be wrong. We treat its output as a draft that informs our human review — not as a binding analysis. You should not make consequential business decisions based on the AI output alone.

What We Do NOT Do

  • We do not use AI to make automated decisions that have legal or similarly significant effects on you
  • We do not use your submission to train any AI model — neither ours, nor (per their current commercial terms) Anthropic's
  • We do not sell your submission, your contact information, or any AI output to third parties for advertising or analytics
  • We do not retain AI conversations across separate intake submissions — each submission is processed independently
  • We do not use a customer's confidential information from one engagement to inform AI output for a different customer

Your Options

You have several ways to interact with us without going through the AI intake tool.

1. Skip the intake tool entirely

You can email us directly at robert@bigheadconsulting.ai instead of filling out the form. We will respond personally, without any AI processing of your message (other than ordinary email spam filtering, which is performed by our email provider on incoming mail).

2. Submit only what you're comfortable with

The free-text portion of the intake tool is optional. You can select issues from our prompts and submit minimal context, then describe your situation more fully when we follow up by email or call.

3. Request deletion

If you have already submitted information through the intake tool and want it deleted, contact us at robert@bigheadconsulting.ai. We will delete your submission from our database. (Note: we cannot retrieve or delete the copy that was processed by Anthropic's API in real time, but per Anthropic's commercial terms, that copy is not retained for training and is subject to Anthropic's own retention practices.)

4. Ask questions

If you have questions about how the AI processes your information, email us. We will explain.

A Note for Mortgage and Financial-Services Clients

When we work with mortgage lenders, banks, and other financial-services clients, we do not route the customer's confidential or non-public personal information through any general-purpose AI service. Engagements with regulated clients are governed by separately negotiated agreements that include heightened confidentiality protections appropriate to the regulated nature of the information involved.

This AI Disclosure Notice applies specifically to the intake assessment tool on our public marketing Site, not to AI use during a paid engagement (which is governed by the engagement agreement).
